Who this policy covers

This policy describes how Quick Field Meadow, a small flower studio at 2-7-15 Oakashicho, Akashi, Hyogo 673-0891, Japan, handles personal information that reaches us through quickfieldmeadow.com. We are the business responsible for that information under Japan's Act on the Protection of Personal Information. If anything below is unclear, write to hello@quickfieldmeadow.com or call +81 78-397-6174 during studio hours.

What you may give us

The contact forms on this site ask for a name and an email address, an optional phone number and a message, plus a tick to confirm you have read this policy. Beyond that, you decide what to tell us. If you order, you will usually add a delivery address, a date, and sometimes the name of the person the flowers are for. We do not ask for dates of birth, card numbers or anything similar, and we ask you not to send them by email.

How the forms really work

The forms on this site do not send anything to a server. When you press Compose email, your browser opens a draft in the mail program on your own device, filled in with what you typed. Nothing leaves your device until you press Send in that program, and this site keeps no copy of what you typed. If no draft opens, you can write to us directly at hello@quickfieldmeadow.com.

Why we use it

We use what you send to answer your question, to tell you what is in the studio and what it costs, to confirm an order, to arrange delivery or collection, to take payment once you have agreed to the order, and to keep the records that bookkeeping requires. We do not send newsletters or promotional mail, we do not build profiles of visitors, and we do not use your message for anything unrelated to your request.

Gifts and other people's details

If you give us someone else's name, address or phone number so that we can deliver flowers to them, please make sure they would not mind. We use those details only to arrange that delivery and for the related records, and we do not contact the recipient for any other reason.

Cookies and browser storage

This site sets no cookies for statistics or advertising and runs no analytics. Two small items can be stored in your browser, and neither contains personal information. The first is a cookie named jzf, saved when you press Got it on the notice at the bottom of the page; it records that you dismissed the notice and expires after about six months (SameSite Lax). The second is a value named krd-mu in your browser's local storage, saved only if you use the round music-note button to pause or resume the decorative motion on the page. You can delete both at any time by clearing this site's data; the notice will then appear again.

The pages, fonts and scripts of this site are served from the site itself. Browsing it does not load content from other companies' servers, and there are no tracking pixels, social buttons or embedded maps.

Who else sees it

We do not sell personal information and we do not share it for marketing. Your message passes through the email service used by the studio and by your own mail provider, which store and deliver it. When an order needs it, the delivery address and phone number are given to whoever carries the flowers, and payment details are handled by the bank or the payment service you choose, each under its own rules. Beyond that, we disclose information only when the law requires it.

How long we keep it

Enquiries that do not lead to an order are deleted once the conversation has ended. Messages about an order are kept for as long as we need them to deliver, to follow up if something goes wrong, and to meet our bookkeeping obligations; after that they are deleted. We have not set an automatic timer, so if you want something removed sooner, ask us.

Keeping it safe

Messages are read only by the people at the studio who deal with orders, and the mailbox is protected by a password. Ordinary email is not encrypted from end to end, which is why we never ask for card numbers or similar details by email. If we ever learn that personal information has been lost or exposed, we will tell the people affected and follow the reporting steps the law sets out.

Your rights

You may ask us to tell you what personal information we hold about you, to correct it, to stop using it, or to delete it. Send the request to hello@quickfieldmeadow.com or by post to the address below. We may ask you to confirm who you are first, so that we do not hand your details to someone else, and we will answer without undue delay. If you are not satisfied with our answer, you can also contact the Personal Information Protection Commission.

Links to other sites

Where this site links to another website, that website follows its own privacy rules, which we do not control. Please read them before you give that site any information.

Changes to this policy

If the way the site works changes, for example if we add a real order form or analytics, we will update this page before the change takes effect and change the date at the top.
